Options





User Information

Fill in the User Information to provide data that can be printed on the invoice reports. .



File Defaults

The File Defaults information is data that can be used for printing reports without answering a dialog box regarding the title and start date of the report and may also be used on the Report tab for pulling in common file data via the Defaults button when new timesheets are added.



Adding an Image

An image representing your company's logo may be printed at the top of each of the reports. The maximum size for this image is 105 x 195 pixels. To use an image on the reports, using the button provided and browse to the image file that you want to associate to the report. Image printing is not applicable when using the Classic Report.



Auto Minimize

By selecting the Auto Minimize checkbox, you can direct the application to automatically minimize whenever a task button is clicked.



ASCII Delimiter

Set the ASCII Delimiter to a character that will be used for dividing the time fields in the timesheets.  This character should be one that is never used within the task names.  The recommended character to use as the ASCII delimiter is the vertical bar ( | ).



Selecting the Report Type

There are three options for displaying the output of the timesheet/invoice reports.  The ASCII version of the report that was supplied with the first versions of the Time Clock may still be used by selecting Classic in the Report Type radio grouping. However, several options for reporting are not available when the Classic option is chosen.

The Standard report is an updated version of the timesheet/invoice report that takes advantage of several reporting enhancements and utilizes an internal reporting tool to provide a more modern look and feel.  The Standard report is the default selection for the Report Type.

Users that have a recent version of Microsoft Word may be able to create a custom timesheet/invoice template in MS Word and use that template as the invoice report by selected MS Word as the Report Type.  When this option is selected, the user must select Print Preview from the Time Clock in order to have the timesheet data sent to the Word document.  Once the Word document is updated with timesheet information, it can be saved or printed directly from MS Word.  For the best results, please use the included sample template as a starting point for creating custom Word templates and follow the rules for making changes to the sample template.



Task Buttons


Setting the Default Task

Set the Default Task as the task name that will be used when the main Click In button is clicked on the main screen..



Setting the Task Length

For backward compatibility, set the task length to the same value that the task length was set to in your previous versions of the TimeClock.  If no version prior to 4.0 was ever used or if there will be no attempt to read timesheets that were created with earlier versions of the TimeClock, the task length is irrelevant.



Setting the Task Buttons

You may enter up to 100 task button descriptions that will be converted into quick entry buttons on the main screen of the TimeClock. It is recommended that the descriptions be kept relatively short if many task buttons are to be used.
 


Fixed Charges


Setting Fixed Charges

You may enter several fixed task descriptions and amounts and later add these items to your timesheets via the Miscellaneous button located on the Main Time Clock screen.


Alarms


Enabling Alarms

When the Enable Alarms checkbox is selected, the program will provide an alarm whenever the elapsed time has exceeded the currently clocked in task's alarm time. The application will always flash in the Windows task bar whenever the alarm fires, but other types of alarms can be set using the alarm options.   



Enabling Alarm Sounds  

To enable a sound when the task alarm is fired, select the Play Sound on Alarm checkbox The sound file that is played when the alarm fires is the alarm.wav file located in the directory where the Time Clock application is located. To change the sound replace the alarm.wav file with another file of the same name. 



Restoring the Application on Alarm 

The program can be restored from a minimized state when the task alarm fires by selecting the Restore Application on Alarm checkbox.



Setting the Alarm Flash Time 

The time section of the main Time Clock screen can be made to flash for a user defined number of minutes whenever the task alarm fires. A value of zero will prevent the task from ever flashing while a positive number will cause the section to flash for that number of minutes.


Reports


Adding Report File Details

A very important part of creating a timesheet is adding its file detail attributes.  To add the file details you must first click the Add File button and then browse to a timesheet that you want to add file details to. Once the file has been added to the list, highlight the entry if it is not already highlighted.  Then, pull the default information over from the Options tab by pressing the Defaults button, or enter the file detail information directly into the boxes provided.  Once the detail information has been entered for the file, press the Save button to preserve the changes.

When file details are present for a timesheet file, the Title and Subtitles will print on the report.  Also, the totals for the invoice can be calculated and printed on the invoice if the hourly rate has been completed.



Selecting Print Options

Check any of the checkboxes that correspond to items that you want to print on the timesheet.  The print options are irrelevant if Classic View is selected.



Microsoft Word  



Using MS Word for Reporting 

The included Microsoft Word document can be used as a template for timesheet reportng. Follow the instructions on the MS Word tab to set up the MS Word template.
