Printing Past Due Notices with Microsoft Word
Late notices can be generated by either using the three late notices
provided by the Accounts Receivable software or by using Word documents as
templates for the late notices.
To use Word documents for the late notices follow these steps:
1. Select Edit->Options from the drop down menu
2. Click the Late Notices tab.
3. Check the Use Microsoft Word for Late Notice Generation checkbox.
4. Enter the template file names and the source and
destination file paths for where the templates will be located and late notices
will be stored.

Using the keywords provided below, create a template for partial payment, 1st and
2nd late notice and place them into the template directory.
The following keywords can be used in creating templates for late notices:
&TRANSAMOUNT: The amount of the last transaction
&TRANSDATE: The date of the last transaction
&LASTDUEDATE: The date that the last payment was due
&DUEDATE: The date that the next payment is due
&AMOUNTDUE: The amount due as of the last recorded transaction
&PASTDUE: The past due amount as of the last recorded transaction
&LATEFEES: The late fees due as of the last recorded transaction
&PASTANDLATEFEES: The past due amount plus any applicable late fees
&TOTALDUE: The amount due plus the past due amount as of the last
recorded transaction
&ACCOUNTNO: The customer's account number
&NAME: The customer's name
&CLIENTADDRESS: The customer's street address
&CLIENTCITYSTATEZIP: The customer's city, state and zipcode (CITY,
ST 11111)
&CLIENTHOMEPHONE: The customer's home phone number
&MANAGER: The manager of the company using the software
&COMPANY: The name of the company using the software
&ADDRESS: The address f the company using the software
&PHONE: The phone number of the company using the software
&TODAY: Today's Date<
&COMPLEXCODE: The code that corresponds to the complex description
&BUILDINGCODE: The code that corresponds to the building description
&UNITCODE: The code that corresponds to the unit description
With the use Word option, when creating late notices the appropriate template
will be pulled from a directory of the user's choice (See number 5 above) and
then each of the keywords in the template will be replaced with values from the
database. Then, the file will be saved with the customer's name plus the current
date as the format into the destination directory that was specified by the
user.
